Summary

The Senior Clinical Operations Coordinator provides advanced administrative and operational support to the Department of Medicine’s clinical enterprise, with a primary focus on the McNair Clinics. This role supports the Clinical Group Practice Director and serves as a lead coordinator for core clinic operations, office management, and day to day issue resolution. The position plays a key role in ensuring efficient clinic operations, a high quality patient experience, and effective on-boarding and support of clinic staff.


This position is located at the McNair Campus at the Texas Medical Center.

Job Duties

Clinical Operations & Office Management (60%)

  • Leads core clinic management functions for the McNair Clinics, including clinic space coordination, equipment leases, preventive maintenance, repairs, and vendor coordination.
  • Manages clinic supply levels, ordering processes, and inventory controls to ensure uninterrupted clinical operations.
  • Serves as a primary point of contact for clinic facilities issues, coordinating with internal teams and external vendors to resolve maintenance and operational concerns in a timely manner.
  • Supports implementation of clinic workflows and operational improvements in collaboration with clinical and administrative leadership.
  • Maintains accurate documentation related to clinic operations, vendors, and equipment.
  • Monitors and reconciles financial transactions for the central clinical accounts.
  • Manages HR transactions for clinical personnel in SuccessFactors.

Patient & Clinic Issue Resolution (10%)

  • Assists with patient scheduling needs, clinic flow issues, and coordination with scheduling teams to support timely patient access.
  • Responds to and help resolve day to day clinic issues to ensure smooth operations and a positive patient experience.

Leadership Support and Project Management (25%)

  • Provides direct administrative and operational support to the Vice-Chair of Clinical Affairs and the Director of Clinical Affairs, including coordination of clinic-related initiatives, follow up on action items, and issue escalation as needed.
  • Coordinates projects related to clinic improvements, optimization, and efficiency.
    Serves as a senior resource for clinic staff, offering guidance on operational policies, procedures, and day to day problem solving.

Staff Onboarding, Training & Support (5%)

  • Coordinates and facilitates onboarding for new clinic staff, including workspace readiness, equipment access, and orientation to clinic operations.
  • Assists with training of new and existing staff on clinic workflows, systems, and operational standards.
  • Serves as a mentor and point of escalation for junior coordinators or administrative staff as applicable.
  • Performs other duties as assigned.

Minimum Qualifications

  • High School diploma or GED.
  • Four years of relevant experience.
