Job Description

Summary

The Research Administration Associate will provide comprehensive pre-award support and assist with post-award activities for multiple faculty members. This position will focus heavily on proposal preparation and submission, ensuring compliance with sponsor and institutional guidelines. The role will also provide support for award setup and basic financial monitoring, working closely with the Research Administration Manager and Sponsored Programs Office.

Employees with CRA certification are eligible for certification pay.

This position is eligible for hybrid work schedule, requiring at least one day onsite each week.

Job Duties

  • Prepare and submit grant proposals, progress reports, and related documents in sponsor systems (e.g., NIH ASSIST, Grants.gov, NSF FastLane, etc.).
  • Review FOAs and sponsor guidelines to ensure compliance.
  • Coordinate collection of biosketches, other support, and required documents from faculty and collaborators.
  • Develop and review budgets and budget justifications in accordance with sponsor and BCM policies.
  • Route proposals through BCM’s internal systems (e.g., BRAIN) for approvals.
  • Serve as primary point of contact for faculty regarding proposal timelines and requirements.
  • Track upcoming deadlines and proactively manage submission schedules.
  • Provide guidance on sponsor electronic systems and BCM internal processes.
  • Perform other job-related duties as assigned.

Minimum Qualifications

  • Bachelor's degree. Certified Research Administrator certification through the Research Administrators Certification Council (RACC) may substitute for the degree requirement.
  • Two years of relevant experience.

Preferred Qualifications

  • Experience with research administration, strong pre-award experience.
  • Knowledge of federal and non-federal sponsor guidelines (NIH, NSF, DoD, foundations).
  • Proficiency in electronic submission systems.
  • Strong budgeting and compliance skills.
  • Excellent organizational and communication skills.

Work Authorization Requirement:
