Job DescriptionJob Summary and Responsibilities/Duties
Under general direction, manages administrative services for the Child Development and Family Support (CDFS) programs. Oversees central office operations and technology for CDFS. Performs a full array of difficult to complex, technical, professional functions. Develops and manages department policies and procedures, assists with and carries out strategic goals, collaborates with applicable college employees and external liaisons, manages department budget, and supervises employees. Manages information technology for CDFS and keeps the executive team up to date on the latest networking technologies that could improve our services.
ESSENTIAL JOB DUTIES
Manages and coordinates CDFS Program office operations and systems across all sites.
Receives and prioritizes requests for office related support. Coordinates staff activities to ensure maximum efficiency.
Develops office operating procedures. Delivers training on standardized processes and ensures standards are consistently met.
Tracks account information and monitors usage of administrative functions including, but not limited to, printing and program cell phones.
Acts as a primary liaison to various College departments for administrative matters.
Develops, implements, and maintains standards for office equipment and supplies to meet staff and community needs and promote safety.
Maintains filing systems and records. Develops, updates, and enforces associated policies and procedures.
Manages program technology including, desk phones, computers, multifunction devices, video cameras, projectors, etc. and mobile technology.
Oversees the tracking, maintenance, and upgrade of all program hardware, peripheral devices, and mobile technology.
Establishes and maintains the standards for office technology program wide in coordination with the college's Information Technology department.
STAFF AND PROFESSIONAL DEVELOPMENT
Recruits, selects, orients, schedules, supervises, evaluates, coaches, rewards, recognizes, disciplines, and holds staff accountable.
Trains, provides for personal and professional development, encourages, and motivates employees to enhance individual skills, promote professional growth, and maximize staff performance.
Attends training sessions and participates in professional training opportunities.
Manages the day-to-day department budget operations, ensuring spending within budget allocation; provides input and direction to the budget planning process.
Reports suspected child abuse in accordance with Oregon Statute and Head Start procedures.
Performs other related duties as required
Minimum and Desired Qualifications
Bachelor's degree in business administration or related field
Three years of progressive experience in management
One year of supervisory experience
Experience working with diverse backgrounds of the College's community, students and employees; demonstrated commitment to promoting access and diversity
Current driver's license, insurance, and access to a reliable automobile during work hours for transportation to off-campus sites
